Summary:
The position provides administrative and operational support to the Program Director of targeted feeding programs implemented by the organization. The position also offers the opportunity to interact with members of the community as a representative of the Merrimack Valley Food Bank.
Duties and Responsibilities
Mobile Pantry Program
Report to Program Director regarding daily activities/updates
Interact daily with program clients, referral sources, volunteers, visitors and donors
Track and log all donations in Excel spreadsheets and Donor Perfect files, including; USDA and
MEFAP food pounds, individual/organization donations and grant funding awards
Complete reports and submit to MVFB Member Services Coordinator monthly
Enter all client information into Mobile Pantry database, including health and dietary changes
Print weekly schedules and volunteer routes
Contact volunteers by telephone and confirm delivery schedules
Contact clients by telephone and confirm delivery times
Update client files including contact information, phone numbers, health and dietary changes as needed
Contact enrolled clients annually to update their Food Preference Sheet
Maintain volunteer records and submit CORI applications as needed
Answer and process incoming telephone calls
Assist in bag assembly when needed, including supervision and director for volunteers, stocking shelves, accessing food in the MVFB warehouse
Deliver grocery orders to client homes as needed, including scheduled routes and emergency deliveries
Assist with MVFB events and represent MVFB at community events as needed
Identify and implement resolutions to existing and potential concerns
Operation Nourish Program
Assist Program Director in all aspects of planning and executing children’s nutrition program, including:
Collect donated food items and prepare monthly food boxes and deliver to schools on the scheduled day.
Interact via telephone, email and face to face with school administrators, social workers, educators and volunteers
In advance count bags and put into the appropriate bins to be filled by volunteers. LABEL all bins appropriately with the school name.
De-palletize food when needed and put onto shelves as available.
Maintain donor information in DonorPerfect for any donations to the program and send thank you letters to donors as needed.
Coordinate with warehouse manager for delivery dates to schools and picking up food purchases.
Coordinate the volunteer schedule with MVFB Volunteer Coordinator for Operation Nourish bag assembly.
Maintain calendar for food deliveries for Operation Nourish distributions.
Summer Lunch Program
Assist Program Director in all aspects of planning and executing Summer Feeding Program, including:
Attending training sessions regarding program operation, paperwork and monitoring (offered by the Dept. of Elementary and Secondary Ed.)
Planning and assisting in training sessions at the MVFB for Site Supervisors.
Preparation of training materials for Site Supervisors.
Ordering materials for food prep and any additional items for children served in the program.
Minimum Requirements:
High School diploma or equivalent, however Associates or Bachelor’s Degree is a plus
Proficiency in MS Word, Excel, Power Point, Outlook, Mobile Pantry software created specifically for our program.
Ability to use office equipment, including copier and scanner.
Organizational skills, excellent time management and must enjoy working with diverse groups of people.
Ability to lift up to 50 pounds.
Professional phone manner, ability to record messages
Ability to communicate professionally via verbal and written form
