Special Events Coordinator – Boys & Girls Club of Greater Lowell

PRIMARY FUNCTION
Plan and execute successful Special Events that support the mission of the Boys & Girls Club of Greater Lowell, foster community awareness of our organization, and meet annual budgetary goals.

DUTIES AND RESPONSIBILITIES
Special Events
Plan and implement all fundraising events including annual Golf Tournament (June) and Holiday Auction (December):

 Work closely with event volunteer committees to plan and execute events
 Work with Director of Development to implement strategies to improve efficiency and increase net revenue generated at fundraising events.
 Coordinate event design elements, promotion, advertising and logistics
 Manage event sponsor communication and follow-up
 Create and maintain vendor relations
 Develop and process event save-the-date cards, invitations, and RSVPs
 Solicit, receive and process event auction items
 Organize and manage event check-in, registration and check out
 Maintain event database (Greater Giving)

Data Base and Records Management
Manage Donor Perfect fundraising data base including; updating constituent records, gift entry, generating mail merges, reports, exports and other data as needed.

Gift Acknowledgement
Generate timely and thoughtful thank you letters for all donations.

Communications
 Coordinate mailings from database for appeals and events
 Work with Development Director to produce content and design of annual report, bi-monthly e-newsletter, e-blasts, social media, website and other promotional materials
 Write and submit press releases on Club activities and events to local media

RELATIONSHIPS
Maintain effective contact with Board of Directors, Board of Trustees, Corporators, Club staff, volunteers, Club alumni and Club members

SKILLS/KNOWLEDGE DESIRED
 Bachelor’s degree from an accredited college or university and/or equivalent prior experience
 One to three years of non-profit fundraising/development experience with proven track record of successful special event planning
 Familiarity with youth development issues and agencies
 Ability to work well with multicultural teams with diverse constituencies
 Excellent organizational and project management skills
 Excellent written and verbal communication skills
 Ability to recruit and empower teams of volunteers
 Computer literacy in Microsoft Office applications, and database management (the Club uses Donor Perfect software) is required
 Proficiency with Constant Contact, use of social media in fundraising and communications (Facebook, Twitter), desktop publishing, graphic design, and Adobe Acrobat/Creative Suite a plus
